Document courier service in Tbilisi and the regions: from the clinic to the notary, the Public Service Hall and the embassy
During months of treatment a family loses most of its time not at the clinic but on the road: the discharge summary to the bureau, from the bureau to the notary, from the notary to the queue at the Public Service Hall, back again and finally to the clinic's international department. This page is about the courier who makes that journey for you: counts the pages against a handover record, queues, sends you a photo of the receipt and hands the envelope only to the person you name. For clinics and notaries, the same courier calls at a fixed time each day, with no phone calls needed.

Zones, delivery times and what "same day" means
The delivery time depends on when the order comes in and on the zone. Below is what you can rely on, and what requires waiting.
| Zone | Order before midday | Order after midday | What we take into account |
|---|---|---|---|
| Tbilisi, central districts | Same day, usually within 2-4 hours | Same day by evening or the next morning | Agencies' opening hours, the notary's schedule |
| Tbilisi outskirts and Rustavi | Same day | Next working day | Traffic out of town, no lift to a high floor |
| Regional centres: Kutaisi, Batumi, Gori, Zugdidi, Telavi and others | 1-2 working days | 2 working days | A local partner courier with the same handover record and seal |
| Villages and mountain districts | By arrangement | By arrangement | Road conditions, distance from the nearest centre |
The price is a fixed zone rate for a one-way trip; a multi-stop route is charged by the number of stops, and waiting at an agency by the hour. All figures are sent to you in writing before you confirm the order.
The four routes the courier covers most often
-
Clinic, bureau, notary, back
The original discharge summary from the clinic to the translation bureau, the translation to the notary for certification, and the certified package to the family or the clinic's international department. One order, one handover record at every stop, and the family does not visit a single office.
-
Public Service Hall: handing in and collecting
Handing in a document for an apostille by queuing, a photo of the receipt for you, and collecting the finished document on the appointed day. Obtaining certificates from agencies in your name is a separate service with a power of attorney; there the courier is only the transport.
-
Embassy and visa centre
Delivering additional documents when the embassy accepts them from a representative, and collecting the finished passport with a power of attorney where this is allowed. Submitting the application and biometrics are in person only; we tell you this before you order.
-
From the regions to Tbilisi and back
An original from Kutaisi or Zugdidi to a Tbilisi bureau, the notary and the apostille, then back to the family. The local partner courier and the Tbilisi courier hand over to each other against a record, and the seal number stays the same.
Fixed windows for clinics, notaries and bureaus
A corporate client does not need to call: the courier comes at one or two agreed times a day, takes everything that is ready and delivers whatever has arrived for them. Every envelope is entered in the window register, and the register is attached to the invoice at the end of the month.
-
Clinic department
Patients' documents go to the notary, for apostille and to the insurer without any staff member leaving the office. The recipient is written on every envelope, and nothing is left at the general reception.
-
Notary
Certified documents reach the client the same day, powers of attorney are sent abroad by DHL in the notary's name, and documents from home visits come back to the office under seal.
-
Translation bureau and law firm
Originals travel from the client to the bureau and back in the bureau's name; court and notarial documents move with a handover record that can serve as evidence. The bureau's client does not see our name if the bureau so chooses.
The window times, zones, rate and liability limit are set out in the corporate contract and calculated on monthly volume.
Frequently asked questions about the courier service
Can the courier queue at the Public Service Hall for me and hand in or collect a document?
It depends on the procedure. At the Public Service Hall a representative can also hand in a document for an apostille and collect the finished document, so the courier covers this route regularly: queues, hands in the original, gets the receipt, which they send you as a photo, and collects the finished document on the appointed day. Procedures that require you to appear in person, such as an application for a biometric passport or signing at a notary, cannot be handed to a courier, and we tell you so before you order so that you do not pay for nothing. Obtaining certificates and extracts from agencies in your name is a separate service that requires a notarised power of attorney, where the courier only handles the transport.
What happens if the recipient is not there or someone else asks for the envelope?
The courier hands the envelope only to the person named in the order, after confirming their identity and against a signature, or to the department stated in the order, recording the recipient's name. If that person is not there, the courier calls you and there are two options: you name another recipient in writing, which the courier records from your message, or the envelope comes back to us, is kept sealed in a safe and is sent again the next day at the repeat-visit rate. A document is never left with a neighbour, a security guard, in a letterbox or under the door, even if you ask us by phone: we keep this rule precisely so that, in case of a dispute, the chain of handover stays unbroken.
Can the courier submit documents at an embassy or visa centre?
Most embassies require visa applicants to appear in person for biometrics and an interview, so a courier cannot submit the application for you, and nobody else can either. What the courier can do: deliver additional documents when the embassy or visa centre asks for something after the application and accepts delivery by a representative; collect the finished passport where this is allowed with a power of attorney; and check the embassy's opening hours and rules in advance so that neither the courier nor you arrive at a closed door. Every embassy has different rules, and before confirming the order we check with the specific embassy what is allowed.
How do regular pick-ups work for a clinic, notary or translation bureau?
A corporate client has one or two fixed windows a day, for example 11:00 and 16:00, when the courier comes without a call, takes everything that is ready and delivers whatever has arrived for them. Every envelope is entered in the window register with its number, recipient and page count, both sides sign, and the register is attached to the invoice at the end of the month. For a clinic this means the department can send patients' documents to the notary and for apostille without any staff member leaving the office; for a notary, that certified documents reach the client the same day; for a bureau, that originals travel from and to the client in the bureau's name. The window times, zones and rate are set out in the contract and calculated on monthly volume.
What completes the courier's route
- Shipping abroad by DHL When the last stop on the route is a clinic or embassy abroad.
- Obtaining certificates and extracts in your name Getting documents from agencies with a power of attorney, where the courier is only the transport.
- Digital archive A scan of every page at pick-up, so the paper is never the only copy.
Running between offices is the courier's job, not the family's
Tell us where from, where to and which stops on the way. You will get the price and time in writing, and in Tbilisi the courier completes orders received before midday the same day.
