Document logistics and B2B services: courier, DHL shipping, digital archive and corporate service

Every stage of treatment and legalisation depends on paper: the original has to reach the notary, the apostilled package the clinic, a copy of the permit the supplier, a court document the embassy. Every page that is delayed or lost in transit costs the patient weeks. In this line of work we manage a document's journey as one chain: collection with a handover record, scanning, a sealed envelope, tracking and delivery against a signature. For companies, the same chain under a contract with a monthly register.

  • A record at every handoverWho, when, how many pages: a trail along the document's whole route

  • Tracking and signatureA number in transit, the recipient's signature at the end, proof sent to you

  • A digital copy before dispatchAn encrypted archive with an access log, so the paper is never the only copy

  • B2B under contractClinics, bureaus, law firms: one contact, one invoice

Order a courier, a shipment or a corporate quote

Tell us what needs to go where. You will receive the price and timing in writing before the courier sets off.

An order commits you to nothing until you confirm the price; proof of delivery is sent to you the same day.

One chain for every document, whatever the zone or destination

A courier across town and a DHL shipment to Munich go through the same five steps. Only the carrier and the timing differ.

  1. Collection with a record

The courier counts the pages, notes their condition and signs a handover record in two copies. The record states who handed over what, and at what time.

  2. Scanning and sealing

The document is scanned at 300 dpi and appears in your digital archive before dispatch. The envelope is closed with a numbered seal and the number is entered in the record.

  3. Tracked transit

Courier status within the city, a DHL number abroad. Both you and the recipient get the link, so you know where the envelope is without having to call.

  4. Delivery against a signature

Only to the person or department named in the order, with a signature and the time. A letterbox, a neighbour or security staff are not the recipient.

  5. Proof and archive

Signed proof of delivery is sent to you the same day and stored in the archive next to the document. For companies, all shipments are totalled in a monthly register.

What a company gets under a contract and what it gets with a one-off order

Comparison of a one-off order and a corporate contract
Term One-off order Corporate contract
Ordering By form or phone, with the price confirmed each time By email or an entry in the register, at the contract rate
Payment Separately for each shipment One invoice at the end of the month, with a register of shipments
Timing in Tbilisi Same day for orders received before noon Fixed slots each day, for example 11:00 and 16:00
Liability A record and a seal for every shipment, limit according to the rate A record and a seal, an agreed limit and insurance according to volume
Confidentiality The envelope is sealed and the contents are not read A confidentiality annex, a named list of couriers, an access log
Contact person A coordinator for the duration of the order One dedicated manager for the company

The contract rate depends on monthly volume and is shown in the written quote by zone and destination. The first month is often a trial, so that both sides can see the real volume.

What we do not do, so your expectations are accurate

  • We do not carry cash, bank cards or valuables: the courier carries documents, and nothing else goes in the sealed envelope.
  • We do not leave a document without the named recipient: if the recipient is not there, the envelope comes back to us and is sent again, even if that costs us a day.
  • We do not read the contents: the courier counts the pages and notes their condition, not the text; scanning is done by a separate member of staff bound by a confidentiality obligation.
  • We do not keep originals in the office overnight without agreement: if a route cannot be completed in one day, the document is kept sealed in a safe and this is noted in the record.

Frequently asked questions about document logistics

What does it mean that one party is responsible for the document along the whole route?

During treatment a document passes through five or six pairs of hands: the family, the translator, the notary, the Public Service Hall, the courier, the clinic. Usually each link answers only for its own stretch, and nobody can trace a lost page. With us every handover is recorded: who, when, how many pages and in what condition. On collection the document is scanned and the digital copy appears in your archive, the envelope is closed with a numbered seal, there is a tracking number in transit, the recipient signs on delivery and that proof is sent to you. If something goes wrong, we have the trail and the responsibility is ours, not any single link's.

Which cities does the courier cover and how long does it take?

In Tbilisi we collect and deliver a document on the same day if the order arrives before noon, otherwise on the next working day. In the regions (Kutaisi, Batumi, Rustavi, Gori, Zugdidi, Telavi and other centres) it takes 1-2 working days, and villages by arrangement. The most common route is home or clinic, translator, notary, Public Service Hall and back, in a single order, so that the patient or family does not need to visit any office. The courier never leaves a document in a letterbox, with a neighbour or with security: it is handed only to the person named in the order, against a signature, and if they are not there, the document comes back to us and is sent again.

How does the digital archive work and who has access to it?

Every document that passes through our hands is scanned at 300 dpi, made into a PDF with bookmarks and text recognition, and stored in your file in chronological order: original, translation, notarisation, apostille, proof of delivery. Only you and the people you name have access, with a password and an access log showing who opened a file and when. The archive is on a secure server, medical files are encrypted and are deleted 30 days after the service ends unless you ask us in writing to keep them. We send a PDF to a clinic or embassy only with your confirmation, and the link expires.

What do you offer clinics, translation bureaus and law firms?

The same chain, but under a contract and at scale. For a clinic: collecting patients' documents from the ward, the notary and apostille, DHL to foreign clinics and insurance companies, a monthly register of all shipments and a single invoice. For a translation bureau: collecting originals from the client and returning them, notary visits on the bureau's behalf, international shipments in the bureau's name. For a law firm: moving court and notarial documents with a handover record that can serve as evidence, and shipments to embassies. The contract sets out the deadlines, zones, liability limit per shipment and confidentiality terms; the price is calculated monthly according to volume.
