A local medical coordinator in Georgia for insurers, assistance companies, employers and travel agencies
When your insured client, employee or tourist ends up in hospital in Georgia, you need someone on the ground who connects the clinic, the patient and your medical team in one language. Solidaroba.ge fills that role: case management, liaison on the guarantee of payment, an interpreter, translation of medical reports and repatriation logistics. Treatment is determined by the clinic's doctor and coverage by you; we provide accurate information and carry out the agreed steps.

Who this service is for and what a typical case looks like
Since 1 January 2026, every tourist coming to Georgia must have health and accident insurance with a sum insured of at least GEL 30,000; the policy may be issued by a foreign insurer, in Georgian or English. For a foreign company, this means cases in a country where clinic documents are written in Georgian.
| Partner | Typical situation | What we do |
|---|---|---|
| Insurer or assistance company | An insured tourist is unexpectedly admitted to hospital, and the medical team needs a report, a cost estimate and status updates | Liaison with the clinic, translation of the report and estimate, support with the guarantee of payment, repatriation logistics |
| Employer | An employee on a business trip or relocated to Georgia falls ill or is undergoing a planned procedure | An interpreter, contact with the family and HR within the limits of the patient's consent, translation of work-related certificates |
| Travel agency or tour operator | A group member is taken to hospital during a tour, and the guide cannot leave the group | We take on the case and the group continues its route; the patient, their insurer and the agency get information from a single source |
How a case runs from notification to closure
The stages are the same for an unexpected hospital admission and for planned treatment; only the pace differs. We agree the report format and frequency in the contract.
-
Notification
You send us the patient's name, date of birth, policy or case number, city, clinic and the contact details of the patient or a relative, as well as what you need from us.
-
First contact
Within the time agreed in the contract, we contact the patient and the clinic, confirm the treating doctor and obtain the patient's consent to share information.
-
Report and cost estimate
We obtain the medical report and an estimate of the expected costs from the clinic, translate them and send them to your medical team. We pass your doctor's questions on to the clinic accurately.
-
Guarantee of payment
You issue the guarantee in the clinic's name. We confirm that it has been received, monitor the limit and let you know in good time when treatment has been extended and the limit needs to be raised.
-
Discharge
We request the discharge summary and the final itemised invoice and check whether it matches the report and the guarantee. We translate the discharge summary into the agreed language.
-
Return and closure
We arrange the agreed transport and hand over the case closure file: documents, translations and a short chronology of the correspondence.
What a status report for your team contains
The report is short and structured, so that a case manager can see in one minute what has changed since the previous report. We record the medical content as the clinic's doctor stated it, without our own interpretation, and we always cite the source.
- Diagnosis and condition in the treating doctor's words, with the date and the doctor's name.
- Procedures performed and planned, and the expected length of the hospital stay.
- Status of the guarantee and the current costs stated by the clinic.
- The discharge plan and the treating doctor's view on fitness to fly.
- Open questions on which we are awaiting an answer from the clinic or the patient.
Guarantee of payment and invoices: where our role ends
The money flows directly between you and the clinic. We do not issue guarantees of payment, we do not make coverage decisions and we do not pay the clinic's invoice from our own funds unless this has been agreed separately in writing. Our job is to make sure the guarantee reaches the right addressee on time and that the invoice is clear.
- We ask the clinic for an itemised invoice: bed-days, procedures, medicines, materials and consultations listed separately.
- We compare the invoice with the medical report and the terms of the guarantee, and report any discrepancy to you before the final invoice.
- We flag items that fall outside the guarantee, so that the clinic agrees them separately with the patient.
- We confirm the clinic's bank details and accepted payment methods in advance; we do not guarantee any particular transfer route.
Medical assessment, for example of the need for and length of treatment, is done by your medical team in conversation with the treating doctor. We arrange that conversation and, if needed, provide an interpreter.
Translated medical reports and repatriation logistics
Documents from Georgian into your language
Documents from a Georgian clinic are, as a rule, in Georgian. Reports, discharge summaries, invoices and test results are translated into English, Russian or another agreed language by our medical translation service. If a document has to be used officially abroad, the Public Service Development Agency apostilles documents issued by medical facilities without a notary step. For a regular flow of documents, with a glossary and a single invoice, there is a corporate service agreement.
Repatriation
Fitness to fly and the conditions for it are determined jointly by the treating doctor and your medical team. We arrange whatever has been agreed: an ambulance to the airport, an accompanying doctor or nurse on a scheduled flight, a stretcher or a medical charter flight. Transport is organised through our VIP and critical care service, with operators we name before you order. If you use your own operator, we support it on the ground: discharge from the clinic, documents and handover of the patient to the crew. Details are on the charter flight page.
Data protection, contract and fees
Under the Law of Georgia on Personal Data Protection, health data are a special category of personal data. Transferring them abroad requires a basis: a country with adequate safeguards, or another lawful basis such as the patient's written consent, given after the risks have been explained. Since 2 March 2026, supervision has been carried out by the State Audit Office. That is why we obtain and record the patient's consent in every case, and a data processing annex is attached to the framework agreement.
In the contract we agree the scope of services, the report format and frequency, response times, the settlement currency and the fee model: per case, hourly or as a fixed package. Working on a one-off case is also possible, under a short written agreement. We do not publish the names of partners or clients on this page. The patient services we use in this work are on the page for international patients, and the same situation from the tourist's side is described on the emergency help page.
Frequently asked questions from partners
Do you issue guarantees of payment or pay the clinic's invoice on our behalf?
No, not as standard. The guarantee of payment is issued by the insurer or assistance company in the clinic's name, and the money goes from you directly to the clinic. We deliver the guarantee, confirm that the clinic has received and accepted it, monitor the limit and alert you when continued treatment requires it to be increased. Advance payment of an invoice from our own funds is possible only in a case agreed separately in writing. Any such arrangement is considered individually in each agreement.
In which languages will we receive reports and translated documents?
We usually prepare status reports in English or Russian, as your team prefers. Medical documents can also be translated into other languages, and we check availability before the agreement is signed. For communication with the patient and their family, we arrange an interpreter in their language, for example Arabic, Hebrew, Turkish, Azerbaijani or Armenian. If we cannot find a suitable specialist for a particular language, we tell you in advance and offer an alternative, such as two-step translation.
Can you work on a single case without a framework agreement?
Yes. If your insured client or employee is already in hospital and there is no time to prepare a framework agreement, we sign a short written agreement for that specific case: what we do, how often we report to you, how the service is priced and how the patient's data are processed. We still obtain the patient's consent to share information. If we later move to regular cooperation, a framework agreement replaces this one.
How do you protect patients' medical data?
Under Georgian law, health data are a special category of personal data, so we process them only on a lawful basis, usually the patient's consent, and only to the extent the case requires. For transfers abroad the law sets additional conditions, for example the patient's written consent after the risks have been explained, if the receiving country does not offer adequate safeguards. Access to documents is limited to the coordinator and the translator. A data processing annex is attached to the framework agreement, and the supervisory authority is the State Audit Office.
Do you arrange medical evacuation from Georgia?
Yes, when this has been agreed and the treating doctor and your medical team confirm the conditions for flying. We arrange an ambulance transfer to the airport, accompanying medical staff on a scheduled flight or a medical charter flight, naming the operator and providing a written quote before you order. If you already have your own air operator, we meet its team on the ground and help with discharge, documents and the handover of the patient. Choosing the receiving clinic is usually on your side.
